Ventory allows users to create and manage Expiry triggers. This triggers allow to set the number of days before the expiry date, when the user would like to be alerted.
To be able to create Expiry triggers the feature “Expiry management” should be enabled and the item should have “Expiry tracking” toggled.
Follow the steps below to create an Expiry trigger:
Step 1 : Open “Settings” in the left side menu.
Step 2 : Choose “Triggers” in the Settings’ menu and click “Add” button in the right upper corner.
Step 3 : In the popup window “Create trigger” choose the way you would like to be notified and press “Next” button in the right down side of the window.
Alert is always active, which means that you will always see your alerts in appropriate section. You can additionally toggle Email and Push notifications in Ventory mobile app.
Step 4 : Choose “Reference data (Expiry)” in the Trigger entity type and type in the number of days before expiry, than press “Next” button.
The number of days calculated including the last day of product expiry and not including the day of expected notification. Example:
product expiry date is 31.07.2025.
notification expected on 30.06.2025 (31 day in advance).
number of days before expiry to be indicated: 31 (calculate all the days from 01.07.2025 to 31.07.2025 inclusive)
Step 5 : Select “Tag” or “Product reference data” and toggle the items for which alerts should be triggered, than press “Next” button:
Expiry triggers can be set for one or several individual item or for one or several tags. Triggers, set by tag will generate the alert for all tagged items, if they have “Expiry tracking” toggled.
Step 6 : Finally toggle one or several users, who will receive the alerts:
and press “Finish” button.
The trigger is now created. Alerts will be generated and shown up in alert section.
