Asset Management

Asset Management is the process of tracking, maintaining, and overseeing these assets throughout their lifecycle—from allocation to return.

What are Assets?

Assets are items owned by a company that are provided to employees to support their work. These can include equipment like laptops, mobile phones, or any other tools necessary to perform job responsibilities.

What is Asset Management?

Asset Management is the process of tracking, maintaining, and overseeing these assets throughout their lifecycle—from allocation to return. Effective asset management ensures that company property is used efficiently, remains in good condition, and is accounted for at all times.

Keep in mind :

  1. If an asset has a Serial Number, the quantity inbounded or assigned remains 1 per transaction as the Serial Number on Ventory Platform is always unique.

  2. To enable Asset Management and Inbound orders for Asset Management : Navigate to Feature Toggles in Settings and enable the same.

    Settings > Feature toggles > Enable the toggle. The Inbound Order toggle under Asset management means that items in Inbound orders can be processed as assets.

Creating Assets in Ventory

Assets can be created and uploaded along with Reference Data on the Ventory platform.

Step 1: Navigate to Reference Data > Click on the three dots at the top right > Enter the asset details in the same format as product uploads > Click Save.

Operations of Assets on Ventory

Scenario 1: Let’s take in a scenario where the assets (laptops) are acquired from a vendor for your company. In that case, your company’s administrator needs to create an Inbound order for assets.

1.2 Navigate to Orders > create an inbound order for assets - Laptops

Note : the administrator of the laptop’s vendor will now have to process the inbound order as an asset on the ventory platform.

1.2 : Once the laptop’s vendor processes the Inbound order for your company. Navigate to Asset Management > the laptops are successfully delivered to your company now will be reflected on the Ventory platform

Scenario 2 : In case where there is no vendor, you can directly Navigate to Asset Management > Click on “+New” to add and assign assets > Select the asset from the dropdown > assign a user > adjust the quantity > Click on “Create”

2.1 : Navigate and click on your assets (Laptop) > you can now see the quantity of assets assigned to the users.

Scenario 3 : Now the assets (Laptops) have been assigned to a user and sent to them. This status is called “Pending assign”. In this scenario, the user needs to do the following :

3.1 : Users (employees) navigate to there profile on the bottom left corner > click on the the profile > Select “My Assets” > Navigate to “Pending” > Click on “Sign Assign” and confirm that they have received the asset (Laptop) by signing.

3.1 : Users (employees) navigate to select “My Assets” under Asset management > Navigate to “Pending” > Click on “Sign Assign” and confirm that they have received the asset (Laptop) by signing.

3.2 : The administrator can now see the successfully assigned asset to the employee on the platform on Asset Management

Scenario 4 : In case where the employee needs to return the asset (laptop) to the company. The user (employee) needs to do the following :

4.1 : The user (employee) needs to ask the company’ administrator to trigger a “Issue Return”. The administrator now navigates to the Asset Management > Select the asset on the list > Navigate to the user(employee) assigned asset > adjust the quantity > click on “Issue return”

4.2 : User (employee) needs to follow step 3.1 and sign the return by clicking on “Sign”

4.3 : Once signed by the user (employee), it’s administrator’s turn to sign and confirm if the asset was successfully returned by the employee, for the same, the administrator:

Navigate to Asset management > Pending > click on “Sign assign” > check the box if the asset is successfully returned > click on “Sign”

The asset is now available to assign to another user :
